D-Type national visa

Where to apply?

You can apply at the consular office.

Do I have to apply in person?

Visa application form must be submitted in person. Diplomatic mission does not accept application forms sent via fax, regular mail or e-mail.

How to book an appointment?

You can book your appointment to apply for a visa via the e-konsulat system ONLY. 

To apply for a national visa for employment please make the following steps:

1. Visit: https://secure.e-konsulat.gov.pl/

2.  Select the type of visa: - Register Form for national employment visa.

3. Accept the general terms and conditions of the procedure. Enter “National visa – work”.

4. Enter and save a preliminary visa application. Remember that the data entered in the application must be the same as the data in your documents.

5. You will receive a request to confirm the preliminary application to the e-mail address provided. You have to confirm your application within 48 hours.

6. After you confirm the preliminary application, your data will be verified. You will receive information on the results via e-mail. Positive result of verification entitles you to complete the full visa application within the next 48 hours. If the application is not completed within this time, your booking will be canceled and the data removed from the system.

7. After having received the confirmation email with the specific appointment date, the printed and signed application along with all the required documents must be submitted personally on the day indicated by the system.

What documents do I need to submit? 

1.    A visa application form filled via the e-konsulat system, printed and signed. The form is free of charge (sample template);
2.    A 3.5 x 4.5 cm colour photo. The photo must be:
a.    sharp, taken against white background and printed on a quality paper,
b.    newer than 6 months,
c.    taken en face, clearly showing the eyes and face on both sides from the top of the head to the top of the shoulders with the face covering 70-80% of the photo. The photo must be taken without any headwear.
3.    Passport issued within last ten years, valid for at least three months from the expected return date, with at least two blank pages for visas.
4.    A copy of the passport page with personal data and the photo and copies of all pages of the passport with visas or stamps. 
5.    All persons applying for a D-type national visa must personally submit documentation confirming the possession of medical travel insurance as referred to in art. 25, sec. 1, point 2, letter a, or documentation confirming the possession of health insurance, as defined by the Act of August 27, 2004, on health care services financed by public funds. Medical travel insurance with an insured amount of no less than EUR 30,000 must be valid for the period of the foreigner’s intended stay within the Republic of Poland and must cover all expenses that may be incurred during the stay, including: the need for return travel for medical reasons, the need for urgent medical assistance, emergency hospital treatment, or death, for which the insurer covers the cost of healthcare services provided to the insured with direct payments to the entity providing such benefits and on the basis of a bill issued by said entity.

6.    A copy of an ID document to confirm legal residence within the consular district of your application.
7.    Proof that you have enough means of subsistence in the form decided by the mission.

- traveller's checks,
- credit cards,
- account statement for a period not shorter than 3 months
- certificate on having means of payment in a bank registered office in the territory of the Republic of Poland or in another Member State of the European Union, issued at least one month before crossing the border and confirmed with seal and signature of the bank's representative,
- original of  invitation registered in the voivodeship office
8.    A proof of accommodation (for example, an official invitation or a hotel booking or reservation).
9.    Documents confirming the purpose of your stay Poland.

Additionally, when applying for a visa for a minor you should present:

  • Written consent of the child’s/minor’s parent(s) to apply for a visa, confirmed by a notary. If there is only one guardian, it should be proved by a birth certificate, a court decision on exclusive parental custody or a death certificate of the other parent.
  • Originals and copies of parents' passports.
  • An original and a copy of a birth certificate.

If the child is entered in the parent's or legal guardian’s passport, please submit a separate visa application.  The visa will be pasted into the parent's or the legal guardian's passport.

Please note:

  • You must apply for a visa in a consular office or the embassy’s consular department in the consular district of your place of residence 
  • Usually, the above documents are enough to receive a visa, however, the consul may require additional documents.
  • The consul may, but does not have to, invite the applicant for an interview.
  • The D-type visas allow to stay in other Schengen states for 90 days of any 180-day period. It means that you can legally stay in the Schengen Area only if your stay was shorter than 90 days over the past 180 days.  
  • The D-type visa is valid for a maximum of one year.
  • Please note, that receiving the visa does not guarantee that you will enter Poland - the final decision is always made by the Border Guard.
How much does it cost? 

From 1 June 2024, the fee for accepting and processing an application for a national visa (type D) and for accepting and processing an application for reconsideration of an application for a national visa will be €135 from.

The fees must be paid at the office counter when submitting the application.

Accepted forms of payment: cash.

The visa application fee is non-returnable, whatever the consul's decision. 

What is the waiting time?

The decision on the issue of a visa is made within 15 working days from the payment date of application fee. If the documents need to be examined in more detail, the consideration period may be extended to 30 days. In urgent and justified cases, the decision can be made in three working days.

How to collect the documents?

Collection in person from Monday to Thursday between 3 p.m. and 3:30 p.m.

How to appeal?

If you do not agree with the consul's decision, you may ask to have your visa application re-considered. You must apply for the reconsideration in the office that issued the decision within 14 days of its delivery.

The application fee in this case is 135 EUR.

You can submit your application for the reconsideration from Monday to Thursday between 9:30 a.m. and 12 p.m.

Documents on the travel purpose:

1. To perform work for a period not exceeding 6 months in the following 12 months (regarding the declaration on the intention to entrust the work, registered in the declarations’ record)

- the original and a copy of the declaration on the intention to entrust the work, registered in the declarations' record, competent for the place of registration of the entity entrusted with the performance of work.

 

The declaration must be completed in official print available at the Labour Office and contain the following information:

- date of issue, signature and stamp of the person responsible in the District Labour Office (Powiatowy Urząd Pracy);

- the name of the inviting company, signature and stamp of the employer;
- full name, surname, birth year, series and number of the foreign passport of the person invited;

- purpose and duration of the visit (dates, number of days and entries).

 

Visa is granted to the person mentioned in the declaration. Declarations do not enable family members of the applicant to apply for a visa.

 

2. To perform work for a period not exceeding 9 months in the calendar year (casual labour)

- the original and a copy of a certificate of casual labour’s application registered in the record of the District Labour Office in Poland

 

The certificate must be completed in official print and contain the following information:

- date of issue, signature and stamp of the person responsible in the District Labour Office (Powiatowy Urząd Pracy);

- official seal;

- the name of the inviting company, signature and stamp of the employer;
- full name, surname, birth year, series and number of the foreign passport of the person invited;

- full information on casual labour

- date of registering casual labour’s application to the record

 

Visa is granted to the person mentioned in the certificate. Certificates do not enable family members of the applicant to apply for a visa.

 

3. To perform work on the basis of a Work Permit registered in the Voivodship Office
- the original and a copy of the work permit in the territory of the Republic of Poland registered in the Voivodship Office, competent for the place of registration of the entity entrusted with the performance of work.

 

The permit is issued by an employee of the Voivodship Office and should contain the following information:

- date of issue, signature and stamp of the person responsible in the District Labor Office;
- the name of the inviting company, signature and stamp of the employer;
- full name, surname, birth year, series and number of the foreign passport of the person invited;
- purpose and duration of the visit (dates, number of days and entries).

 

Visa is granted to the person mentioned in the work permit. Only a spouse and children of the person mentioned in the permit can apply for a Schengen visa.
 

4. To complete the full-time undergraduate studies, graduate studies or doctoral schools (students):

- certificate of a higher education institution on admission to studies or on the continuation of studies (name of the university or the Institute of the Polish Academy of Sciences and the faculty, address of the unit, name of the field of study, year of study, name and surname of the person signed under the certificate of admission, telephone number to the university unit that can confirm the student's status)

- proof of payment for the enrollment

- providing evidence of having sufficient resources to cover the cost of living and return travel to the country of origin or residence, or the cost of transit to a third country which granted permission to enter, and the cost of studies

 

If the application does not include all necessary documents to confirm the data contained in the application and circumstances justifying the application for the issuance of this visa, the applicant has the right to complete them within 14 days from the date of submitting the application.

Application for issuing the visa can be considered up to 60 days.

 

5. To undertake researches (researchers):

- hosting agreement between the research organization based in the Republic of Poland and the researcher (name of the inviting unit, address of the unit, name and period of the research project, phone number to the person who can confirm participation of the researcher in the research project). The agreement shall contain:

  1. the title or purpose of the research activity or the research area;
  2. an undertaking by the researcher to endeavour to complete the research activity;
  3. an undertaking by the research organisation to host the researcher for the purpose of completing the research activity;
  4. the start and end date or the estimated duration of the research activity;
  5. information on the working conditions of the researcher
  6. information on the intended mobility in one or several second Member States of the European Union if the mobility is known at the time of application in the Republic of Poland.

- providing evidence of having sufficient resources to cover the cost of living and return travel to the country of origin or residence, or the cost of transit to a third country which granted permission to enter

- written undertaking from the research organisation that, in the event that a researcher remains illegally in the territory of the Republic of Poland concerned, that research organisation is responsible for reimbursing the costs related to the stay and return incurred by public funds.
The financial responsibility of the research organisation shall end at the latest six months after the termination of the hosting agreement.

 

If the application does not include all necessary documents to confirm the data contained in the application and circumstances justifying the application for the issuance of this visa, the applicant has the right to complete them within 14 days from the date of submitting the application.

Application for issuing the visa can be considered up to 60 days.

 

6. To undertake traineeships (trainees)

- providing evidence of having obtained a higher education degree within the two years preceding the date of application or of pursuing a course of study that leads to a higher education degree

- providing evidence that the trainee is accommodated throughout the stay by the host entity

- written undertaking from the host entity that, in the event that a trainee remains illegally in the territory of the Republic of Poland concerned, that host entity is responsible for reimbursing the costs related to the stay and return incurred by public funds. The financial responsibility of the host entity shall end at the latest six months after the termination of the training agreement.

- presenting a training agreement, which provides for a theoretical and practical training, with a host entity (name and address of the host entity, REGON (legal person) or PESEL (natural person), phone number to the person who can confirm the participation of the foreigner in the training). The training agreement shall contain:

  1. a description of the training programme, including the educational objective or learning components;
  2. the duration of the traineeship;
  3. the placement and supervision conditions of the traineeship;
  4. the traineeship hours;
  5. the legal relationship between the trainee and the host entity (especially providing evidence that during the stay the trainee will have sufficient resources to cover the training costs);
  6. the method of confirming the acquired knowledge, practical skills and professional experience

- the traineeship shall be in the same field and at the same qualification level as the higher education degree or the course of study

- providing evidence that the trainee has received or will receive language training so as to acquire the knowledge needed for the purpose of the traineeship.

 

If the application does not include all necessary documents to confirm the data contained in the application and circumstances justifying the application for the issuance of this visa, the applicant has the right to complete them within 14 days from the date of submitting the application.

Application for issuing the visa can be considered up to 60 days.

 

7. To participate in the voluntary service (volunteers)

- providing evidence that the volunteer is accommodated throughout the stay by the host entity

- providing evidence of having sufficient resources to cover the cost of living and return travel to the country of origin or residence, or the cost of transit to a third country which granted permission to enter

- provide an agreement with the host entity (name and address of the host entity, REGON (legal person) or PESEL (natural person), name and period of the voluntary service, phone number to the person who can confirm the participation of the foreigner in the voluntary service). The agreement shall contain:

  1. a description of the voluntary service scheme;
  2. the duration of the voluntary service;
  3. the placement and supervision conditions of the voluntary service;
  4. the volunteering hours;
  5. the resources available to cover the volunteer‘s subsistence and accommodation costs and a minimum sum of money as pocket money throughout the stay;
  6. information on the training the volunteer will receive to help perform the voluntary service.

 

If the application does not include all necessary documents to confirm the data contained in the application and circumstances justifying the application for the issuance of this visa, the applicant has the right to complete them within 14 days from the date of submitting the application.

Application for issuing the visa can be considered up to 60 days.
