C-Type Schengen Visa

Disclaimer: If you are a Syrian without legal stay in Lebanon you are now reading information from the wrong Embassy. We cannot accept your application. Please go to the website of the Polish Embassy in Damascus which is temporarily in Beirut: https://www.gov.pl/web/syria-en/embassy. They accept applicants exactly at the same building but we are different institutions.

Where to apply?

You can apply at the consular office.

Do I have to apply in person?

Visa application form must be submitted in person. Diplomatic mission does not accept application forms sent via fax, regular mail or e-mail.

How to book an appointment?

You can book your appointment to apply for a visa via the e-konsulat system. Important: please use a computer. Mentioned system is not accesable via smartphones.

What documents do I need to submit?

1.    A visa application form filled via the e-konsulat system, printed and signed;

2.    A 3.5 x 4.5 cm colour photo. The photo must be:

a.    sharp, taken against white background and printed on a quality paper,

b.    newer than 6 months,

c.    taken en face, clearly showing the eyes and face on both sides from the top of the head to the top of the shoulders with the face covering 70-80% of the photo.

If you do not bring the photo or it doesn't meet the requirements, your application will not be accepted.

3. Passport issued within the last ten years, valid for at least three months from the expected return date, with at least two blank pages for visas. In justified cases (e.g. upcoming travel), a passport can be given back to the applicant after reviewing by the consular staff. It shall be brought back by the applicant for the decision pick up. If you have another valid passport, you should attach it to the visa application form.

If you do not have such a passport please renew it before applying. Otherwise your application cannot be accepted.

4. Supporting documents to be submitted depending on travel purpose.

Note: this is one of the most important documents, and may differ regarding the case.

a. Tourism

- confirmation of booking of an organised trip, or

- other appropriate document indicating the envisaged travel plans (such as reservation(s) and ticket(s) to attend event(s) at the destination(s)) or

- a detailed travel plan presented in writing by the applicant.

b. Business/Official

  • Information to be provided by the inviting company/organisation: an official invitation, stamped and signed and containing the following information:

- the full address of the company/organisation and name of a contact person,

- nature of the business/field of expertise,

- extract of the business register in the country of destination (not applicable for public administration entities),

- name and position of the countersigning officer,

- purpose and duration of the visit,

- person or entity, who will bear the applicant’s travel and subsistence expenses, if the cost will be covered by the inviting company/organisation.

  • Information to be provided by the sending company:

- for business owners: proof of current business relations such as invoices, customs documents,

- for employees travelling on behalf of the company: employment letter, specifying the purpose of the trip and person or entity, who will bear (and, if applicable, guarantee) the applicant’s travel and subsistence expenses.

c. Family/private visit

  • Proof of family ties of the visa applicant with the inviting person in the country of destination (e.g. extract of family register), if applicable
  • Invitation letter containing the following information:

- name of the applicant,

- name of the host and address,

- reason for and duration of the visit,

accompanied by a copy of the passport and/or residence permit of the host,

  • if the applicant does not cover the stay by own financial means: Proof of sponsorship using the form as per national legislation of the country of destination (in case the authorities of the country of destination do not check the financial situation of the sponsor, the proof of sponsorship should be accompanied by the sponsor’s last three payment slips or proof of other sources of income).

d. Medical treatment

  • Official letter by medical institution or physician in the country of destination containing the following information:

- Confirmation of the date and location of the appointment,

- name and phone number of a contact person in the medical institution able to provide information on the applicant,

- type and duration of treatment to be provided,

- estimated costs of treatment to be provided.

  • Statement by a medical institution or physician in Lebanon stating the kind of medical treatment or examination needed, justifying the reason(s) for the treatment in the country of destination,
  • Confirmation of advance payment for the medical treatment or any other proof of financial arrangements made.

e. Study, research or internship:

- for study and/or research: certificate of admission or registration at an educational institution for the purpose of attending academic programmes or vocational courses.

- for internship: internship agreement or confirmation letter from the inviting company.

f. Participation in cultural or sports events

  • Original letter of invitation from the organiser of the event in the country of destination containing the following information:

- name and date of the event,

- detailed programme of the event, - role of the applicant in the event,

- information of the entity covering the travel costs, accommodation and expenses during the trip.

  • Letter from the institution sending the concerned applicant, if applicable.

- a document proving the applicants membership in a national or other sport team, or

- a Verbal Note from the Ministry of Sport and Youth confirming the applicant’s membership in a sports association.

g. Airport transit

  • Valid entry permit, e.g. visa for the country of next or final destination,
  • Proof of arrangements made for onward journey, such as copy of onward ticket or reservation, and plausible explanation of itinerary.

5. Proof of financial means of the applicant:

Proof of personal assets or means of subsistence, such as:

- bank account statements with official stamp from the bank, showing movements of the past six months period, with bank information on the means and conditions to withdraw money from the account (i.e. terms and conditions of the account, sometimes included in the bank statements), or

- credit card with account statements of the last six months, or

- proof of income of real estate property.

In addition,

a) for employees:

- employment letter, specifying the date of recruitment, job position in the company, salary level and absence permission,

- last three payment slips, and

- registration with CNSS (National Social Security Fund).

b) for company owners:

- company statutes (copy),

- business registration (copy), and

- company bank statements for the last three months or tax statements for the

company.

c) for self-employed persons:

- syndicate card or letter,

- tax statements, and

- proof of current business activities (order, contracts, etc.).

d) for retired persons:

- proof of pension.

e) for students of higher education:

- proof for university or institution enrolment and confirmation of attendance of classes,

- proof of scholarship (if applicable), and

- proof of source of livelihood during the study and stay period.

6. Proof of accommodation such as:

- hotel reservation(s) (with proof of sufficient financial means to cover the

accommodation(s) if the reservation is not prepaid or cancellable without fees before

the arrival), or

- other prepaid accommodation (vouchers by local travel agencies cannot serve as

proof of prepaid other accommodation), or

- private accommodation with proof of property, or

- letter of invitation by a host, which includes the address of stay, or

- proof of private accommodation using the form as per national legislation of the country of destination, if applicable. In case of Poland official letter from the provincial office – Urząd Wojewódzki, prepared by the inviting person.

7. Round trip ticket(s) booking or reservation (including intra-Schengen travels if

applicable).

8. Healthcare insurance valid across the European Union for the amount not lower than  EUR 30,000. Information of the Minister of Foreign Affairs about the insurers and the insurances that they offer, which meet the necessary conditions referred to in Article 25 (1) (2) (a) and Article 25 (1b) of the Act of 12 December 2013 on Foreigners is available on the website of the Ministry of Foreign Affairs. If you apply for a multiple-entry visa, it should cover the date of the first entry.

9.   Copy of a document confirming residency within the consular district of your application (ifadat sakan) - with translation into English.

For foreigners living in Lebanon, a valid Residency Permit (ikama) - it has to be valid for at least 1,5 month from the date on which you apply. 

If you cannot prove you are staying legally in Lebanon - your application will not be accepted.

10. Extract of family register (ekhraj kaid aily): original or legalised copy, either not older than six months or stamped by the competent authorities as “register up-to-date”. You can add copy to your application with the original sworn translation, but you need to show the original of the document during the application.

11. A copy of the passport page with personal data and copies of Schengen visas issued within last 3 years. 

Minors

At least one of the parents need to be present with the minor during the appointment;

When applying for a visa for a minor you should present:

a) for minors travelling with their parents: a school certificate only.

b) for minors travelling alone or with one parent only or with the legal custodian:

- birth certificate of the minor and copy of the passports of the parent(s) or legal custodian,

- notarised consent of the non-traveling parent(s) or proof of sole custody of the traveling parent or legal custodian (unless both parents are present at the time of application), and

- school registration certificate,

- only for minors travelling alone: Proof of travel arrangements for the minor and financial means of the parents to cover all expenses of the journey and stay in the country of destination, as detailed under I.1. and I.2. respectively.

If the child is entered in the parent's or legal guardian’s passport, please submit a separate visa application.  The visa will be pasted into the parent's or the legal guardian's passport.

Non-Lebanese nationals residing in Lebanon:

- residence permit valid at least three (3) months after anticipated date of return to Lebanon,

- work permit valid for at least three (3) months after anticipated date of return, if applicable.

Important information:

  • You are responsible for every single document brought to the Embassy with your visa application. We seriously treat any attempt to receive a visa with fake documents. In Poland this is a serious crime. There are no exceptions to that rule and no excuses are accepted. You may be banned from entering any of the Schengen States if you present forged documents or provide false information.
  • The above mentioned list od documents is public. If you are missing any of the documents mentioned on the list, you might not be informed about this fact during the appointment. Nevertheless, missing one of them is the reason for refusal.
  • Every member of the same family travelling together has to have own and complete set of documents, even if they are similar/the same in majority.
  • Usually, the above documents are enough to receive a visa. However, the consul has the right to require any additional documents. If you are asked to bring documents that are missing or to provide additional documents, you should do it as soon as possible, but not later than within 10 days. Documents delivered after that time might not be taken into consideration. If you need more time do not hesitate to ask via our e-mail address (beirut.consul@msz.gov.pl).
  • Additional or missing documents should be provided in a closed envelope with a name of the applicant and a number from the ticket received on the day on which you have issued your application (unless the consul allows you to send some via e-mail – than you should provide a mentioned data with number in the subject of an e-mail). Envelope should be delivered to the Embassy's security. Anyone can bring the envelope, you do not have to do it personally. No appointment is needed. If the documents are not properly marked and packed we might not take them into consideration.
  • The consul may, but does not have to, invite the applicant for an interview.
  • You must apply for a visa in the embassy’s consular department in the consular district of your place of residence 
  • The D-type visas allow you also to stay in other Schengen states for 90 days of any 180-day period. It means that you can legally stay in the Schengen Area only if your stay was shorter than 90 days over the past 180 days. 
  • Please note, that receiving the visa does not guarantee that you will enter Poland - the final decision is always made by the Border Guard.
How much does it cost?

The fee for accepting and processing an application for a Schengen visa or a national visa is according to the consular fees tableIf you refuse to pay, your application will not be accepted. You should bring the exact amount. If you don't, we reserve the right to refuse to accept your payment if we are not able to give you the change.

The visa application fee is non-returnable, whatever the consul's decision. 

What is the waiting time?

The decision on the issue of a visa is made within 15 working days from the payment date of application fee. If the documents need to be examined in more detail, the consideration period may be extended up to 30 or 60 days. In such cases you will be informed as soon as possible. That is why providing accurate contact data (phone and email address) in your application is very important. 

How to collect the documents?

Personally at the consular office, between 13.00 - 14.00 or during different times specified on your ticket/receipt. In order to collect your decision, you must have the receipt given to you on the day of application.

Decisions can be received by another person, but the one has to have the ticket you received and your written consent. The only exceptions to this are relatives who are travelling together and applied together on the same day. In such a case one person can collect all the decisions.

How to appeal?

If you do not agree with the consul's decision, you may ask to have your visa application re-considered. You should write an appeal letter and sign it, also you can attach additional documents. We recommend referring to every reason for refusal that was given by the consul in his decision. Your appeal will be handled by a different consul. Hence, another consul may, but does not have to, invite the appealing person for an interview. 

You must apply for the reconsideration in the office that issued the decision within 14 days of its delivery. If you are late we cannot accept your appeal and you will need to start a new application, if you still wish to travel. No appointment is needed for the appeal, so you can come during our working hours. Since we are constantly in the process of accepting new applicants, we would recommend that applicants who wish to appeal come any time on Tuesdays and Fridays or after 12:00 on Mondays, Wednesdays or Thursdays. This will save your time. Your decision will be ready after 7 days. Please note that on the last working day of the month we are not able to accept appeals after 14:30.

The application fee for an appeal is the same as in case of applying for a visa. You can check it in the consular fees tableIf you refuse to pay, your appeal will not be accepted. You should bring the exact amount. If you don't, we reserve the right to refuse to accept your payment if we are not able to give you the change.

The visa appeal fee is non-returnable, whatever the consul's decision. 

Revocation or annulment of Schengen visa

If you have received a decision to revoke or annul your Schengen visa that you do not agree with, you have the right to ask for a reconsideration. However, if you have applied yourself for your Schengen visa to be revoked and the consul has agreed, you are not entitled to appeal.

You should apply for reconsideration within 14 days of receiving the decision to annul or revoke your Schengen visa at the consular post that issued the decision.

Applications for reconsideration of the application can be submitted during working hours of the Visa Section: Monday - Thursday from 9.00 - 14.00.

If you apply for reconsideration after your Schengen visa was revoked or annulled, you do not have to pay the consular fee.

Complaint about refusal to issue Schengen visa, decision to revoke or annul Schengen visa and the consul's activities in this respect.

If the consul who examines your reconsideration request, issues a new decision to refuse, annul or revoke your visa, which you do not agree with, you have the right to submit a complaint to the Provincial Administrative Court in Warsaw. The complaint should be forwarded through the consul who made the decision, within 30 days of receiving the decision taken as a result of the re-examination .

You do not pay a consular fee for submitting a complaint to the consul, but you have to pay fees for proceedings before administrative courts. Therefore, you have to note that the court will ask you to pay the court fee. How to cancel an appointment?

In case you change your travel plans and want to cancel your appointment, please go to e-konsulat system again. On the menu on the left side please use „Cancel appointment” link. Plese put your form number and received code in proper fields. Both can be found on the top of the last page of your application (the one with a table and big bar code in the middle). Than click „cancel the visit”. Note: it is not necessary to cancel your visit in case of a minor mistake in the application itself. In such case please inform us while applying at the Consulate and we will tell you what you need to do, in order to correct the mistake on hand.
