The Embassy of the Republic of Poland in New Delhi hereby announces a tender for the sale of an official vehicle – Toyota Hiace Commuter GL – in accordance with the specifications set forth below.

DEPOSIT OF BID SECURITY:

Participation in the tender is contingent upon the payment of a deposit equal to 10% of the starting price, payable in INR: i.e. 117 000 INR

The deposit must be paid no later than January 15, 2025, either in cash at the Embassy of the Republic of Poland in New Delhi cashier’s office (operating hours for payment: 15.01.2025 at  10:00 to 12:30) or by transfer to account number:

If the deposit is transferred to the specified bank account, the offer must include the bidder’s full bank account details, including the bank name, address, and SWIFT/IFSC code/number.

Deposits from bidders whose offers are not selected or are rejected will be refunded within seven days of the non-selection/rejection of the bid. The deposit paid by the winning bidder will be credited toward the purchase price.

Any offer submitted without a valid security deposit will be rejected.

The tender security deposit will not be returned if the winning bidder refuses to sign the sales contract.

 

OFFER:

The bid should be prepared in writing according to the attached template (Annex 1) and it should include:

• Name and Surname or Company name, exact address and contact phone number, e-mail of the Bidder.
• A statement of the Bidder that he/she is familiar with the factual state of the vehicle on offer or that he/she bears responsibility for the consequences resulting from the resignation from the vehicle’s inspection.
• Copy of the proof of payment of the tender deposit.

BIDDING PROCEDURE:

Written offers, submitted in accordance with the attached template (Annex No. 1), along with a copy of the proof of payment of the tender deposit, must be delivered to the premises of the Embassy of the Republic of Poland in New Delhi in sealed envelopes marked “Tender Toyota Hiace Commuter GL - not to be opened” no later than January 16, 2025, by 12:00 p.m. local time.

The opening of tenders will take place during the Tender Committee meeting at the Embassy of the Republic of Poland in New Delhi on January 17, 2025, at 2:00 p.m. local time.

The Committee shall select the highest bidder.

 

REJECTION OF OFFER:

An offer shall be rejected if:

• It is submitted after the specified deadline, at an incorrect location, or by a bidder who has not remitted the tender security deposit;
• It lacks the required data or documents as specified in the announcement, or if such data or documents are incomplete, illegible, or ambiguous, and any clarifications provided would result in the offer being regarded as a new submission.

 

OTHER INFORMATION:

In the event that multiple bidders offer the same price, the tender will proceed in the form of an auction among those bidders.

The Purchaser will be notified of the auction date and contract finalization. The contract will be concluded no later than seven days from the date of physically opening the bidding letters.

The Purchaser is required to pay the purchase price within three days of the contract conclusion.

The vehicle will be released immediately upon receipt of the purchase price (with the bank transfer credited to the Embassy of Poland’s bank account), signing of the sales agreement, and re-registration of the vehicle by buyer (prove of registration needed).

All costs, taxes, and fees related to the purchase are the responsibility of the buyer. By entering the tender, the Purchaser agrees to pay all taxes and fees required by the authorities of India, Poland, or any other country to which the vehicle may be transferred after the sale.

The Embassy of the Republic of Poland in New Delhi reserves the right to close the tender at any time without providing any reason for the decision.

The Embassy of the Republic of Poland is not responsible for any hidden defects of the vehicle.

NOTE

Please note that the car may not be registered in the NCR of Delhi.
