Where to apply?
You can apply at the consular section of the Embassy of the Republic of Poland in Tokyo.
Do I have to apply in person?
Visa application form must be submitted in person. Diplomatic mission does not accept application forms sent via fax, regular mail or e-mail.
How to book an appointment?
You can book your appointment to apply for a visa via the e-konsulat system.
What documents do I need to submit?
1. A visa application form filled via the e-konsulat system, printed and signed.
2. A 3.5 x 4.5 cm colour photo. The photo must be:
a. sharp, taken against white background and printed on a quality paper,
b. newer than 6 months,
c. taken en face, clearly showing the eyes and face from both sides from the top of the head to the top of the shoulders with the face covering 70-80% of the photo. The photo must be taken without any headwear.
3. Passport issued within last ten years, valid for at least three months from the expected return date, with at least two blank pages for visas. If
you have another valid passport, you should attach it to the visa application form.
4. A copy of the passport page with personal data and a photo.
5. Healthcare insurance valid across all countries of the Schengen area for the amount not lower than EUR 30,000. If you apply for a multiple-entry visa, it should cover the date of the first entry
6. Copy of an ID document to confirm residence within the consular district of your application.
7. Proof that you have enough means of subsistence in the form decided by the mission:
a. A valid bank account statement issued by your bank,
b. A valid credit card with a certificate of means available,
c. A valid income certificate from your employer for the last three months,
d. Traveller's checques issued to the visa applicant – an original and a copy.]
8. A proof of accommodation (for example, an official invitation or a hotel booking or reservation).

Additionally, when applying for a visa for a minor you should present:
- Written consent of the child’s parent(s) to apply for a visa, confirmed by a notary. If there is only one guardian, it should be proved by a birth certificate, a court decision on exclusive parental custody or a death certificate of the other parent.
- Originals and copies of parents' passports.
- Original and a copy of a birth certificate.
If a child is entered in their parent's or a legal guardian’s passport, please submit a separate visa application. The visa will be pasted into the parent's or the legal guardian's passport.
Please note:
- You must apply for a visa in a consular office or the embassy’s consular department in the consular district of your place of residence.
- Usually, the above documents are enough to receive a visa, however, the consul may require additional documents.
- Submit your visa application not earlier than 6 months and not later than 15 days before your planned journey.
- If you have applied for a Schengen visa within the last 59 months and your fingerprints have been taken, you don’t have to submit them again- the system will transfer the data automatically.
- The consul may, but does not have to, invite the applicant for an interview.
- You may be banned from entering any of the Schengen States if you present forged documents or provide false information.
- Due to the VIS being fully operational, no stamp, indicating the admissibility of the application, is currently affixed to the applicant’s travel document.
- Third-country national and citizens belonging to special categories are subject to prior opinion or information.
- Receiving the visa does not guarantee that you will enter the Schengen area - the final decision is always made by the authorities of the country where you intend to cross the Schengen area border.
What documents do I need to submit for a tourist visa?
1. A visa application form filled via the e-konsulat system, printed and signed.

6. Healthcare insurance valid across all countries of the Schengen area for the amount not lower than EUR 30,000. If you apply for a multiple-entry visa, it should cover the date of the first entry
Proof of travel medical insurance should cover any expenses which might arise in connection with repatriation for medical reasons, urgent medical attention and/or emergency hospital treatment or death, during your stay on the territory of the Schengen countries. The insurance should be valid throughout the territory of all Schengen countries and cover the entire period of the person's intended stay or transit. The minimum coverage should be EUR 30 000. The applicant should submit a written confirmation from the insuring company with information about the name of the insured person, territorial validity of the insurance, exact dates and amount of the coverage.
7. Copy of an ID document to confirm residence within the consular district of your application.
8. Proof that you have enough means of subsistence:
a. The original bank book with photocopies or current bank account statement stamped and signed by the bank (for the last 3 months) as a proof of sufficient means of subsistence during the intended stay in the Schengen area.
b. A valid credit card with a certificate of means available,
c. A valid income certificate from your employer for the last three months,
d. Traveller's checques issued to the visa applicant – an original and a copy.
9. A proof of accommodation for the whole duration of the intended stay in the Schengen area (for example, an official invitation or a hotel booking or reservation).
10. Cover letter: the applicant’s description of their trip, the purpose of travelling and the time frame written down in a form of a letter.
11. Round trip flight reservation with dates and flight numbers specifying entry and exit from the Schengen area.
12. A reference letter from the employer with salary certificate. The certificate of employment must specify the date of recruitment, position in the company and salary.
• Housewives and minors should provide Non Objection Letter from their sponsor as well as sponsor’s passport and visa copy, salary certificate and current bank account statement.
• Self-employed should produce evidence of registration of your business in Japan, trade license and the latest bank statement is to be attached.
Additionally, when applying for a visa for a minor you should present:
- Written consent of the child’s parent(s) to apply for a visa, confirmed by a notary. If there is only one guardian, it should be proved by a birth certificate, a court decision on exclusive parental custody or a death certificate of the other parent.

8. Proof that you have enough means of subsistence:
a. A valid bank account statement issued by your bank (The original bank book with photocopies or current bank account statement stamped and signed by the bank for the last 3 months),
b. A valid credit card with a certificate of means available,
c. A valid income certificate from your employer for the last three months,
d. Traveller's checques issued to the visa applicant – an original and a copy.
Regarding the applicant’s expenses, it must be stated either in the employer’s letter or the partner company’s invitation that one of both parties will be covering the applicant’s travel expenses during his/her stay in the Schengen Zone.
9. A proof of accommodation for the whole duration of the intended stay in the Schengen area (for example, an official invitation or a hotel booking or reservation).
10. Round trip flight reservation with dates and flight numbers specifying entry and exit from the Schengen area.
11. Letter from Japanese employer meticulously describing the purpose of the travel as well as the itinerary of the days spend in Poland.
12. The invitation letter from the partner company in Poland - invitation to attend meetings or other relevant events matching trade, industry or work.
13. A reference letter from the employer with salary certificate. The certificate of employment must specify the date of recruitment, position in the company and salary.
14. Self-employed should produce evidence of registration of your business in the Japan, trade license and the latest bank statement is to be attached.

13. A reference letter from the employer with salary certificate. The certificate of employment must specify the date of recruitment, position in the company and salary .

How much does it cost?
The visa fee you can find in General Information - Consular Fees
The visa application fee is non-returnable, whatever the consul's decision.
Schengen visa fee exemptions:
- Children under the age of 6,
- Researchers traveling to Poland for the purpose of carrying out scientific research, under the age of 25,
- Spouses of European Union citizens (when requested documents are submitted),
- Dependent children, under the age of 21, of European Union citizens,
- Dependent parents of European Union citizens,
- Representatives of non-profit organisations aged 25 or less participating in seminars, conferences, sports, cultural or educational events organised by registered non-profit organisations.
What is the waiting time?
The consul will make the decision on the visa within 15 calendar days. Exceptionally, the time to make the decision can be extended up to 30 or 60 days.
How to collect the documents?
You can collect your passport in person or by proxy at our consulate (without appointment) during office hours: 10:00-12:00 or 13:00-15:00 weekdays. We are closed on Polish and Japanese national holidays.
Please be advised that it is also possible to pick up your passport along with the visa decision by mail. To do so, you will need to enclose with your visa application a self-addressed LETTER PACK PLUS return envelope (red, costs 600 JPY) with the recipient's details: first name, last name, full address in Japan, and a completed application to return your passport with the visa decision (to be filled out on the spot at the consulate).
Advantages:
• your passport along with the visa decision will be delivered by mail to the address of your residence in Japan,
• you do not have to come to the consulate again, especially if you live far away from Tokyo,
• you save time and transportation costs.
Please note that:
• there is a risk of delay or loss by the post office - you will have to address any complaints about this directly to the postal operator.
How to appeal?
In the case of a negative decision on the application, applicant shall be informed of the reasons for such a decision. If you do not agree with the consul's decision, you may ask to have your visa application re-considered. You must apply for the reconsideration in the office that issued the decision within 14 days of its delivery.

Revocation or annulment of Schengen visa
If you have received a decision to revoke or annul your Schengen visa that you do not agree with, you have the right to ask for a reconsideration. However, if you have applied yourself for your Schengen visa to be revoked and the consul has agreed, you are not entitled to appeal.
You should apply for reconsideration within 14 days of receiving the decision to annul or revoke your Schengen visa at the consular post that issued the decision.
The working hours for admitting requests for reconsideration of the visa are the same as for admitting all types of visas.
If you apply for reconsideration after your Schengen visa was revoked or annulled, you do not have to pay the consular fee.
Complaint about refusal to issue Schengen visa, decision to revoke or annul Schengen visa and the consul's activities in this respect.
If the consul who examines your reconsideration request, issues a new decision to refuse, annul or revoke your visa, which you do not agree with, you have the right to submit a complaint to the Provincial Administrative Court in Warsaw. The complaint should be forwarded through the consul who made the decision, within 30 days of receiving the decision taken as a result of the re-examination .
You do not pay a consular fee for submitting a complaint to the consul, but you have to pay fees for proceedings before administrative courts. Therefore, you have to note that the court will ask you to pay the court fee. Frequently asked questions
Is there a separate fast-track procedure for the Schengen visas at the Embassy of the Republic of Poland in Tokyo?
No, there is no such option available.
Can I apply for a Schengen visa when the planned travel is in less than 15 days?
The application should be submitted 15 days or more before the planned travel. Only very special circumstances can justify applying when the planned time of travel is less than 15 days.
Can I ask for checking whether all the documents are fine in advance?
No, we can check your documents only when you apply for a visa at consulate.
I live so far from Tokyo, can I get back the passport (or visa decision) by post?
Yes, this is possible. For more information please see How to collect the documents? section.
I want to apply with my family members, but cannot make appointments for all of them for the same day in e-konsulat system. Can we visit the consulate together?
Yes. Please book appointment for yourself with date when you wish to visit us. Then the other family members can also apply on the same day, having own reservation even with other dates
I want to change the appointment date / cancel the appointment.
You can do it by yourself.

I made some mistakes in the application form. Do I have to cancel it and make a new one?
No, please tell the officer when you apply, then we will correct them. However visa type (A/ C- Schengen/ D- national) cannot be changed later.
I finished booking via e-konsulat system but cannot receive an e-mail with fulfilled application form.
Did it reach as a spam mail or get blocked? Or can you try to make appointment again? If not,please send us an e-mail to tokyo.consul@msz.gov.pl with information as follows:

Can I get back submitted documents?
No. Exceptionally, we can give you back the original of work permit, healthcare insurance policy or invitation letter from school, on condition that you provide us copy of them together.
