D-Type national visa
Where to apply?
You can apply at the consular section of the Embassy of the Republic of Poland in Tokyo.
Do I have to apply in person?
Visa application form must be submitted in person. Diplomatic mission does not accept application forms sent via fax, regular mail or e-mail.
How to book an appointment?
In order to apply for a visa, please book your appointment via the e-konsulat system.
Remember to apply for a visa not later than two weeks before the planned departure.
What documents do I need to submit - general
Information on required documents for visas for work, studies and family/friends visit is available on this page.
1. A visa application form filled via the e-konsulat system, printed and signed;
2. A 3.5 x 4.5 cm colour photo. The photo must be:
a. sharp, taken against white background and printed on a quality paper,
b. newer than 6 months,
c. taken en face, clearly showing the eyes and face on both sides from the top of the head to the top of the shoulders with the face covering 70-80% of the photo. The photo must be taken without any headwear.
3. Passport issued within last ten years, valid for at least three months from the expected return date, with at least two blank pages for visas.
4. A copy of the passport page with personal data and the photo.
5. Healthcare insurance valid across the European Union for the amount not lower than EUR 30,000.
6. A copy of an ID document to confirm legal residence within the consular district of your application.
7. Proof that you have enough means of subsistence in the form decided by the mission.
8. A proof of accommodation (for example, an official invitation or a hotel booking or reservation).
9. Documents confirming the purpose of your stay Poland.
Additionally, when applying for a visa for a minor you should present:
- Written consent of the child’s/minor’s parent(s) to apply for a visa, confirmed by a notary. If there is only one guardian, it should be proved by a birth certificate, a court decision on exclusive parental custody or a death certificate of the other parent.
- Originals and copies of parents' passports.
- An original and a copy of a birth certificate.
If the child is entered in the parent's or legal guardian’s passport, please submit a separate visa application. The visa will be pasted into the parent's or the legal guardian's passport.
Please note:
- You must apply for a visa in a consular office or the embassy’s consular department in the consular district of your place of residence
- Usually, the above documents are enough to receive a visa, however, the consul may require additional documents.
- The consul may, but does not have to, invite the applicant for an interview.
- The D-type visas allow to stay in other Schengen states for 90 days of any 180-day period. It means that you can legally stay in the Schengen Area only if your stay was shorter than 90 days over the past 180 days.
- The D-type visa is valid for a maximum of one year.
- Please note, that receiving the visa does not guarantee that you will enter Poland - the final decision is always made by the Border Guard.
What documents do I need to submit - visa for work
Visa for work
Visa application form should be made through electronic customer service system "e-Konsulat": (visa application forms which was not registered via e-Konsulat won't be accepted).
Please be informed that all certificates and official papers must be provided in the original.
Electronic document with valid electronic signature will be also regarded as an original.
Documents are preferred to be in English or Polish language.
VISA REQUIREMENTS:
- Visa Application form. The form must be fully completed via the e-Konsulat system and signed in the corresponding blanks.
- One photo to be attached. The photo must have a passport format, full-face capture (the height of the face should be 70-80% of the height of photo, it is 32-36mm), a white background and must be taken in the last 6 months
- Passport valid for at least 3 months prior to your departure from Poland. The passport must have at least two blank pages.
- Copy of passport page with photo and personal data
- Copies of previous Polish/Schengen visas
- Copy of Residence Permit in Japan (the original residence Permit must be shown to the Visa Officer)
- Round trip flight reservation with dates and flight numbers specifying entry and exit from Poland. Written oath to purchase a return flight can be submitted instead if not bought.
- Proof of accommodation in Poland.
- Proof of travel medical insurance to cover any expenses which might arise in connection with repatriation for medical reasons, urgent medical attention and/or emergency hospital treatment or death, during your stay on the territory of the Schengen countries. The insurance should be valid throughout the territory of all Schengen countries and cover the entire period of the person's intended stay or transit. The minimum coverage should be EUR 30 000. The applicant should submit a written confirmation from the insuring company with information about the name of the insured person, territorial validity of the insurance, exact dates and amount of the coverage.
Please note that the travel insurance valid for the entire period of intended stay is required also applying for a work visa. If you are already working in Poland and insured by Polish social insurance (ZUS), you can submit a certificate from them (ZUS RMUA Raport miesięczny dla osoby ubezpieczonej instead.
Information of the Minister of Foreign Affairs about the insurers and the insurances that they offer, which meet the necessary conditions referred to in Article 25 (1) (2) (a) and Article 25 (1b) of the Act of 12 December 2013 on Foreigners is available on the website of the Ministry of Foreign Affairs.
- Financial means- The amount of financial means a foreigner is required to have in order to be able to cover the cost of lodging, boarding, travelling through and out of the territory of the Republic of Poland:
- 75 PLN per day for stays over 4 days
- 2500 PLN additionally if return flight is not purchased
As a document confirming financial means you should provide one of them (they should be issued within last one month):
- the original of the certificate on the amount of limit on the credit card issued by the bank/company, which issued that credit card;
- the original of the certificate on the possession of the financial measures on the account in the bank, which possess his premises on the territory of Poland or other Schengen member state.
- the amount of salary mentioned on the Work Permit issued by the Municipal Office in Poland can be also regarded as financial means.
Attention! Bank statement from Japanese banks cannot be used when applying for a national visa.
- Work permit issued by the Municipal Office in Poland. Visa validity cannot exceed the validity of work permit.
- Invitation letter from the employer (company) in Poland
- Recommendation letter from the employer (company) in Japan, in case of relocation.
- A current reference letter from the employer in Japan with salary certificate. The certificate of employment must specify the date of recruitment, position in the company and salary.
Self-employed should produce evidence of registration of your business in the Japan, trade license and the latest bank statement is to be attached.
Please note:
- You must apply for a visa in a consular office or the embassy’s consular department in the consular district of your place of residence
- Usually, the above documents are enough to receive a visa, however, the consul may require additional documents.
- The consul may, but does not have to, invite the applicant for an interview.

What documents do I need to submit - visa for family/friends visit
Please be informed that all certificates and official papers must be provided in original (for perusal) and copy.
VISITING RELATIVES/FRIENDS PURPOSE VISA REQUIREMENTS:
• Visa Application form filled via the e-konsulat system. The form must be fully completed and signed.
• One photo to be attached. The photo must have a passport format, full-face capture (the height of the face should be 70-80% of the height of photo, it is 32-36mm), a white background and must be taken in the last 6 months
• Passport valid for at least 3 months prior to your departure from Poland. The passport must have at least two blank pages.
• Copy of passport page with photo and personal data
• Copies of previous Polish/Schengen visas
• Copy of Residence Permit in Japan (the original residence Permit must be shown to the Visa Officer)
• Original of the formal invitation by the relative/friend residing in Poland registered in Provincial Office (Urząd Wojewódzki) in Poland.
• Cover letter: the applicant’s description of their trip, the purpose of travelling and the time frame written in a form of a letter.
• Round trip flight reservation with dates and flight numbers specifying entry and exit from Poland.
• Proof of accommodation for the whole duration of the intended stay in Poland.
• Proof of travel medical insurance to cover any expenses which might arise in connection with repatriation for medical reasons, urgent medical attention and/or emergency hospital treatment or death, during your stay on the territory of the Schengen countries. The insurance should be valid throughout the territory of all Schengen countries and cover the entire period of the person's intended stay or transit. The minimum coverage should be EUR 30 000. The applicant should submit a written confirmation from the insuring company with information about the name of the insured person, territorial validity of the insurance, exact dates and amount of the coverage.

• A reference letter from the employer with salary certificate. The certificate of employment must specify the date of recruitment, position in the company and salary .
• Housewives and minors should provide Non Objection Letter from their sponsor as well as sponsor’s passport and visa copy, salary certificate and bank account statement for the last 3 months.
• Self-employed should produce evidence of registration of your business in the Japan, trade license and the latest bank statement is to be attached.
• Financial means- The amount of financial means a foreigner is required to have in order to be able to cover the cost of lodging, boarding, travelling through and out of the territory of the Republic of Poland:
- 300,- Polish Zloty (PLN) for stays up to 4 days;
- 75,- Polish Zloty (PLN) per day for stays over 4 days.
As a document confirming financial means you should provide one of the followings (they should be issued within last one month):
- the original of the certificate on the amount of limit on the credit card issued by the bank/company, which issued that credit card;
- the original of the certificate on the possession of the financial measures on the account in the bank, which possess his premises on the territory of Poland or other Schengen member state.
Attention! Bank statement from Japanese bank cannot be used for national visa application.

- University acceptance letter or certificate of enrollment. Copy (scan) of the original will not be accepted.
- Proof of tuition fee payment
- Enrollment certificate from Japanese university/school if applicable
- Non Objection Letter from sponsor as well as sponsor’s passport and visa copy, employment certificate with salary information and current bank account statement for the last 3 months.
- Document proving the relationship with abovementioned sponsor (in case of Japanese citizen- an original of family register- koseki touhon; if not e.g. birth certificate)

How much does it cost?
The visa fee you can find in General Information - Consular Fees
The visa application fee is non-returnable, whatever the consul's decision.
What is the waiting time?
The decision on the issue of a visa is made within 15 calender days from the payment date of application fee. If the documents need to be examined in more detail, the consideration period may be extended to 30 days. In urgent and justified cases, the decision can be made in three working days.
How to collect the documents?
You can collect your passport in person or by proxy at our consulate (without appointment) during office hours: 10:00-12:00 or 13:00-15:00 weekdays. We are closed on Polish and Japanese national holidays.
Please be advised that it is also possible to pick up your passport along with the visa decision by mail. To do so, you will need to enclose with your visa application a self-addressed LETTER PACK PLUS return envelope (red, costs 600 JPY) with the recipient's details: first name, last name, full address in Japan, and a completed application to return your passport with the visa decision (to be filled out on the spot at the consulate).
Advantages:
• your passport along with the visa decision will be delivered by mail to the address of your residence in Japan,
• you do not have to come to the consulate again, especially if you live far away from Tokyo,
• you save time and transportation costs.
Please note that:
• there is a risk of delay or loss by the post office - you will have to address any complaints about this directly to the postal operator.
How to appeal?
In the case of a negative decision on the application, applicant shall be informed of the reasons for such a decision. If you do not agree with the consul's decision, you may ask to have your visa application re-considered. You must apply for the reconsideration in the office that issued the decision within 14 days of its delivery.

Frequently asked questions
Is there a separate fast-track procedure for the national visas at the Embassy of the Republic of Poland in Tokyo?
No, there is no such option available.
Can I apply for a national visa when the planned travel is in less than 15 days?
The application should be submitted 15 days or more before the planned travel. Only very special circumstances can justify applying when the planned time of travel is less than 15 days.
Can I ask for checking whether all the documents are fine in advance?
No, we can check your documents only when you apply for a visa at consulate.
I live so far from Tokyo, can I get back the passport (or visa decision) by post?
Yes, this is possible. For more information please see How to collect the documents? section.
I want to apply with my family members, but cannot make appointments for all of them for the same day in e-konsulat system. Can we visit the consulate together?
Yes. Please book appointment for yourself with date when you wish to visit us. Then the other family members can also apply on the same day, having own reservation even with other dates
I want to change the appointment date / cancel the appointment.
You can do it by yourself.

I made some mistakes in the application form. Do I have to cancel it and make a new one?
No, please tell the officer when you apply, then we will correct them. However visa type (A/ C- Schengen/ D- national) cannot be changed later.
I finished booking via e-konsulat system but cannot receive an e-mail with fulfilled application form.

Can I get back submitted documents?
No. Exceptionally, we can give you back the original of work permit, healthcare insurance policy or invitation letter from school, on condition that you provide us copy of them together.
