Do I have to apply in person?
Visa application form must be submitted in person. Diplomatic mission does not accept application forms sent via fax, regular mail or e-mail.
How to book an appointment?
In order to apply for a national visa, please book your appointment via the e-konsulat.
Remember to lodge visa application no later than 15 calendar days before the planned departure.
NOTE - When registering, enter precisely requested data contained in the documents you intend to submit. Data entered in the application need to be consistent with the data contained in the documents (also in terms of spelling).

On the agreed date you shall come to the consular office with a printed visa application form and a complete set of necessary documents.
In order to book regular national visa appointment - other than work purposes and P.BH programme
- Go to the e-konsulat.
- In the MENU select „National visa – register form”.
- Choose type of service – „National visa – other".
- Choose the date of appointment.
- Complete the application, save it and print it.
In order to book Poland. Business Harbour visa appointment:
- Go to the e-konsulat.
- In the MENU select „National visa – register form”.
- Choose type of service – „National visa – P.BH”.
- Choose the date of appointment.
- Complete the application, save it and print it. In point 21 of the application you should write „POLAND. BUSINESS HARBOUR”.
In order to book visa appointment for work purposes:
- Go to the e-konsulat.
- In the MENU select "National visa - work", fill in the provisionary visa application containing your basic data and the details of your work permit in Poland. If the details entered are correct, you will receive an email with a link to complete the visa application (you will have 48 hours to do it). Complete the application, save it and print it.
If the data are not positively verified or the application is not completed within 48 hours, the registration will be canceled;
- if the number of applicants is greater than the number of available places, appointments will be made by electronic drawing. The appointment dates for visa cases are drawn by the e-konsulat system every Saturday.
- if your application has been drawn, you will receive information about the date of the appointment;
- if your application has not been selected, it will be drawn your application will remain in the system until it is drawn or the work permit expires.
Employees of consular offices cannot interfere with this process. After the drawing, you will receive information about its results.

What documents do I need to submit?
D-Type national visa
Applying for the national visa for other than employment purposes and Poland. Business Harbour you should submit:
1. A visa application form filled via the e-konsulat system, printed and signed;
2. A 3.5 x 4.5 cm color photo. The photo must be:
a. sharp, taken against white background and printed on a quality paper,
b. newer than 6 months,
c. taken en face, clearly showing the eyes and face on both sides from the top of the head to the top of the shoulders with the face covering 70-80% of the photo. The photo must be taken without any headwear.
3. Passport issued within last ten years, valid for at least three months from the expected return date, with at least two blank pages for visas.
4. A copy of the passport page with personal data and the photo.
5. A copy of an valid Romanian ID document to confirm residence in Romania.
6. Travel medical insurance valid in the Schengen area and for the entire duration of stay, with the minimum coverage of 30.000,- EUR, covering all costs of any urgent medical assistance, emergency hospital treatment or repatriation for medical reasons as well as - in case of death - repatriation of the deceased. The insurance has to provide the 24h operating emergency contact center where the claim can be reported.
7. Proof that you have enough means of subsistence – (eg. printout form the bank account for last 3/6 months).
8. A proof of accommodation (eg. an official invitation or a hotel booking or reservation) and transport itinerary (eg. flight/couch reservation).
9. Documents confirming the purpose of your stay in Poland.
Applying for national visa under the Poland. Business Harbour programme:
Person holding valid residence title in one of the Schengen Zone member states, valid Schengen or national visa issued by one of the Schengen Zone member states by principle cannot apply for visa.
Person in question should go to Poland in order to register ones residence in Poland.
I. IT Specialist should submit:
1. A visa application form filled via the e-konsulat system, printed and signed;
2. A 3.5 x 4.5 cm color photo. The photo must be:
a. sharp, taken against white background and printed on a quality paper,
b. newer than 6 months,
c. taken en face, clearly showing the eyes and face on both sides from the top of the head to the top of the shoulders with the face covering 70-80% of the photo. The photo must be taken without any headwear.
3. Passport issued within last ten years, valid for at least three months from the expected return date, with at least two blank pages for visas.
4. A copy of the passport page with personal data and the photo.
5. A copy of an valid Romanian ID document to confirm residence in Romania.

Travel medical insurance with the minimum coverage of 30.000,- EUR, must be valid for the entire duration of the intended stay of the foreigner on the territory of the Republic of Poland, covering all costs, that may arise during the stay in this territory, of any urgent medical assistance, emergency hospital treatment or repatriation for medical reasons as well as - in case of death - repatriation of the deceased. The insurer provides a 24/7 Assistance Provision Centre (Call Centre) and undertakes to cover the costs of health services directly to the entity providing these services, on the basis of an invoice issued by this entity. 7. Proof of interest regarding employment from one of the partner companies from List #1 (list is available on the website: https://www.gov.pl/web/poland-businessharbour) and document confirming, that you:
- worked in IT for at least a year (if the document is wet stamped and handwritten signed the paper original will be required) or
- have technical education connected to IT (if the document is wet stamped and handwritten signed the paper original will be required)
II. Startup PBH participant should submit:
1. A visa application form filled via the e-konsulat system, printed and signed;
2. A 3.5 x 4.5 cm color photo. The photo must be:
a. sharp, taken against white background and printed on a quality paper,
b. newer than 6 months,
c. taken en face, clearly showing the eyes and face on both sides from the top of the head to the top of the shoulders with the face covering 70-80% of the photo. The photo must be taken without any headwear.
3. Passport issued within last ten years, valid for at least three months from the expected return date, with at least two blank pages for visas.

III. Small, Medium and Large Enterprises PBH participant should submit:
1. A visa application form filled via the e-konsulat system, printed and signed;
2. A 3.5 x 4.5 cm color photo. The photo must be:
a. sharp, taken against white background and printed on a quality paper,
b. newer than 6 months,
c. taken en face, clearly showing the eyes and face on both sides from the top of the head to the top of the shoulders with the face covering 70-80% of the photo. The photo must be taken without any headwear.
3. Passport issued within last ten years, valid for at least three months from the expected return date, with at least two blank pages for visas.
4. A copy of the passport page with personal data and the photo.

7. Certificate of qualified to Polish Investment and Trade Agency program.
IV. Visas for family members of the PBH program participant
I. Spouse/ partner of PBH participant should submit:
1. A visa application form filled via the e-konsulat system, printed and signed;
2. A 3.5 x 4.5 cm color photo. The photo must be:
a. sharp, taken against white background and printed on a quality paper,
b. newer than 6 months,
c. taken en face, clearly showing the eyes and face on both sides from the top of the head to the top of the shoulders with the face covering 70-80% of the photo. The photo must be taken without any headwear.
3. Passport issued within last ten years, valid for at least three months from the expected return date, with at least two blank pages for visas.
4. A copy of the passport page with personal data and the photo.
5. A copy of an valid Romanian ID document to confirm residence in Romania.
6. A person applying for a national visa shall personally submit a document confirming the possession of travel medical insurance, referred to in the Article 25 (1) (2) (a) of the Act of 12 December 2013 on Foreigners or a document confirming the possession of health insurance within the meaning of the Act of 27 August 2004 on health care services financed from public funds. 7. Oryginal and copy of marriage certificate or documents confirming family ties (for partners in a relationship).
II. Minors supported by PBH participant do need to submit:
1. A visa application form filled via the e-konsulat system, printed and signed;
2. A 3.5 x 4.5 cm color photo. The photo must be:
a. sharp, taken against white background and printed on a quality paper,
b. newer than 6 months,
c. taken en face, clearly showing the eyes and face on both sides from the top of the head to the top of the shoulders with the face covering 70-80% of the photo. The photo must be taken without any headwear.
3. Passport issued within last ten years, valid for at least three months from the expected return date, with at least two blank pages for visas.
4. A copy of the passport page with personal data and the photo.
5. A copy of an valid Romanian ID document to confirm residence in Romania.

7. If one of parents is not present, consent of the child’s/minor’s parent(s) to apply for a visa, confirmed by a notary. If there is only one guardian, it should be proved by a birth certificate, a court decision on exclusive parental custody or a death certificate of the other parent.

Additionally, when applying for a visa for a minor you should present:
- Written consent of the child’s/minor’s parent(s) to apply for a visa, confirmed by a notary. If there is only one guardian, it should be proved by a birth certificate, a court decision on exclusive parental custody or a death certificate of the other parent.
- Originals and copies of parents' passports.
- An original and a copy of a birth certificate.
If the child is entered in the parent's or legal guardian’s passport, please submit a separate visa application. The visa will be pasted into the parent's or the legal guardian's passport.
Please note:
- You must apply for a visa in a consular office or the embassy’s consular department in the consular district of your place of residence.
- Usually, the above documents are enough to receive a visa, however, the consul may require additional documents.
- The consul may, but does not have to, invite the applicant for an interview.
- The D-type visas allow to stay in other Schengen states for 90 days of any 180-day period. It means that you can legally stay in the Schengen Area only if your stay was shorter than 90 days over the past 180 days.
- The D-type visa is valid for a maximum of one year.
- Please note, that receiving the visa does not guarantee that you will enter Poland - the final decision is always made by the Border Guard.
How much does it cost?
The visa fee is 396,00 RON
Special fees for citizens of the following countries:
Albania, Armenia, Azerbejdzan, Bosnia and Hercegovina, Montenegro, Georgia, Macedonia, Moldova, Serbia:
Visas category A,C (Schengen): 173,00 RON
Visas category D (polish national visa): 396,00 RON
Ukraine:
Visas category A,C (Schengen): 173,00 RON
Visas category D (polish national visa): free
Other kinds of discounts are available for determined categories of visa applicants as stipulated in international agreements or Rozporządzenie Ministra Spraw Zagranicznych z dnia 23.04.2013 r. w sprawie opłat konsularnych.
What is the waiting time?
The decision on the issue of a visa is made within 15 working days from the payment date of application fee. If the documents need to be examined in more detail, the consideration period may be extended to 30 days. In urgent and justified cases, the decision can be made in three working days.
How to collect the documents?
Documents should be collected personally or by delegate person within consulate work hours.

The documents might be also returned the Courier. Courier delivery request should be submitted while lodging the visa application form. Courier service is being ordered and paid by the Applicant. Passport will be sent to the Applicant’s address stipulated in the visa application form.
How to appeal?
If you do not agree with the consul's decision, you may ask to have your visa application reconsidered. You must apply for the reconsideration in the office that issued the decision within 14 days of its delivery.
In order to appeal you must bring your passport, an appeal letter and make new visa fee payment (396 RON)

INFORMATION ABOUT REFUNDING STUDENT FEES IN CASE OF RECEIVING A VISA REFUSAL IN ORDER TO START OR CONTINUE STUDIES
The charging fees issues for educational services by public universities are regulated in the Act of 20 July 2018, Law on Higher Education and Science, and in the case of non-public universities, they result from the internal regulations of these universities.
Students conclude civil law contracts with universities, which contain special conditions related to the admission process, the course of studies, as well as provisions regarding the amount of the fees and the rules related to the fee refunds. Candidates for studies should carefully study these documents in detail, in particular the provisions on the rules for obtaining the refund of the paid tuition fees.
Refund issues are settled between students and universities. The Ministry of Foreign Affairs of the Republic of Poland, the Embassies of the Republic of Poland, as well as the Consulates of the Republic of Poland do not mediate in issues between the student and the university and do not have legal measures allowing a foreigner, who has been refused a student visa, to obtain a refund of the tuition fees.
If the university fails to comply with the provisions of the contract concluded with the student, in particular, it has not refunded the fee, claims regarding student fees may only be pursued through civil law.
