D-Type national visa

Where to apply?

You can apply at the Consular office of the Embassy of Poland in Hanoi (address: 5 Chua Mot Cot, Ba Dinh, Hanoi - entrance from Ba Huyen Thanh Quan Street), from Monday to Friday during 08:00-12:00.

You need first to register your appointment on e-konsulat.

Do I have to apply in person?

Visa application form must be submitted in person. Diplomatic mission does not accept application forms sent via fax, regular mail or e-mail.

How to book an appointment?

You can book your appointment to apply for a visa via the e-konsulat system.

Remember that you must apply for a visa no later than two weeks before the planned departure.

NOTE - When registering, provide full and authentic data from the submitted documents. The data entered in the application must be consistent with the data contained in the documents (also in terms of spelling).

 

Persons interested in obtaining a national visa in order to work might make appointments only in the e-konsulat system.

 In order to book an appointment for submitting an application for a national work visa:

•go to the website e-konsulat

•in the MENU tab, select the option National visa - register the form, and then select whether you are applying for a work visa or another type of visa and whether you accept the application rules:

a) if you choose National visa - work, fill in the initial visa application with your basic data and details of the document entitling you to work in Poland. If the details entered are correct, you will receive an email with a link to complete the full version of visa application. You will have 48 hours to complete an application. Fill out the application, save it and print it. If the data is not properly verified or the full application is not completed within 48 hours, the registration will be canceled;

b) if you choose National visa - other, choose the date of your visit, fill in the visa application form, save it and print it;

•if there are more applications than available dates for visiting consulat, appointments will be made by an electronic drawing (lottery),

•all information, confirmations, and links to fill in the applications are sent automatically in electronic version to the e-mail address provided by you,

•within the set/agreed date, you must come to the consular office with a printed and signed visa form, original work permit and a complete set of necessary documents.

 

Consular officers cannot interfere with the process of drawing applications, which will be assigned a visit date.

 After the draw/lottery, you will receive information about its results and:

•when your application has been drawn, you receive information about the date of the visit,

•if your application has not been selected, your application is cancelled and you must repeat the application process from the beginning.

New appointments are open every Fridays at 2:00 pm, local time.

The appointment dates for a visa are drawn by the e-Konsulat system every Saturday.

What documents do I need to submit? 

1.    A visa application form filled via the e-konsulat system, printed and signed;


2.    A 3.5 x 4.5 cm colour photo. The photo must be:

        (a) sharp, taken against white background and printed on a quality paper,

        (b) newer than 6 months,

        (c) taken en face, clearly showing the eyes and face on both sides from the top of the head to the top of the shoulders with the face covering 70-

             80% of the photo. The photo must be taken without any headwear.


3.    Passport issued within last ten years, valid for at least three months from the expected return date, with at least two blank pages for visas.


4.    A copy of the passport page with personal data and the photo. 

 

5.   Healthcare insurance valid across the Schengen member states for the amount not lower than EUR 30,000 covering the whole period of validity of the visa. We accept insurance from Vietnamese companies: Bao Minh and Bao Viet as well as certain international companies listed here.

 

6.   The original of the family book (Hộ khẩu Gia đình) or a copy certified as true copy by the Consular Department of the Ministry of Foreign Affairs of the SRV, the People's Committee competent for the place of permanent residence, or the notary public. A certified copy of the document should be made not earlier than three months before the date of its submission to the office. The family book must have a Polish or English translation.

 

7. Confirmation of financial means (not applicable to work visas):

      (a) Original bank (business or private) account statements showing the turnover of the last three months.

      (b) If the applicant is employed:

  • last three salary slips;
  • employment contract or current employer's statement;
  • permission to leave.

     (c) If the applicant is the owner of an enterprise or a natural person conducting business activity:

  • company registration certificate;
  • certificate of settlement of tax obligations.

    (d) If the applicant is a pensioner:

  • retirement pension certificate.

     (e) Other measures:

  • money orders;
  • credit cards;
  • regular property income.


     (f) If the applicant receives help to cover the costs of stay from another person or accommodation with a private person:

  • confirmation of payment of costs related to the applicant's stay by another person or lodging with a private person on the national form;
  • original invitation / guarantee letter;
  • copy of the sponsor / host's passport or identity card;
  • copy of the residence permit if the sponsor / host is a foreigner;
  • statements from the sponsor / host's bank account showing the turnover from the last three months, unless his fact of having financial means is     confirmed otherwise

 

8. Document confirming accommodation (e.g. official invitation or hotel / staff hotel / dormitory etc. booking at the place of stay) indicating the address.

9. Reservation of a flight ticket to Poland.

10. Documents confirming the purpose of stay on the territory of the Republic of Poland:

      (a) Travel undertaken for scientific or training purposes:

  • lower education diploma allowing to start studies or training in Poland;
  • a decision issued by the relevant Provincial
    Education Superintendent in Poland (Kurator Oświaty) on the recognition in The Republic of Poland of the certificate/diploma confirming the level
    of education or the eligibility to the continuation of education, including admission to higher studies, containing the scope of rights in the country
    that issued the document, unless exempted.
    Please contact your University to get information about how to obtain a decision or to check if your diploma is exempted from such recognition;
  • short resume (CV);
  • the original certificate of admission of the applicant to study or another form of education in a Polish educational institution; in the case of remaining a student of a Polish educational institution, student ID or the original certificate of continuation of studies;
  • confirmation of payment of the fee for training or studies in a Polish educational institution or confirmation of receipt of a scholarship covering the costs of education;
  • certificate confirming knowledge of Polish or English at a level that allows you to study in that language;
  • original copy of the applicant's birth certificate if his parents cover the costs of studying in Poland.

NEW REQUIREMENT
The Embassy of Poland in Hanoi informs that the student visa checklist has been updated. The higher secondary certificate MUST include the decision of the competent POLISH education superintendent regarding the recognition of the secondary school leaving certificate abroad as a document confirming the right to apply for admission to higher education in the Republic of Poland. Details can be found on the website of the Ministry of National Education. In case of questions and doubts we recommend contacting the concerned Polish university.

       (b) Travel undertaken for the purpose of performing work on the territory of the Republic of Poland:

  • original work permit issued by the competent voivodship office together with a copy;

       (c) Travel undertaken for other purposes:

  • if the applicant visits relatives:

                         - a document confirming the existence of family ties (e.g. a copy of a birth certificate or marriage certificate);

                          - original invitation issued by the Voivodship Office with a copy;

                         - documents confirming the strong ties with the visa applicant, e.g. an employment contract of indefinite duration with an employer in

                            Vietnam, a property deed in Vietnam, etc.

 

Additionally, when applying for a visa for a minor you should present:

Written consent of the child’s/minor’s parent(s) to apply for a visa, confirmed by a notary. If there is only one guardian, it should be proved by a birth certificate, a court decision on exclusive parental custody or a death certificate of the other parent.

  • Originals and copies of parents' passports.
  • An original and a copy of a birth certificate.

 

If the child is entered in the parent's or legal guardian’s passport, please submit a separate visa application.  The visa will be pasted into the parent's or the legal guardian's passport.

Please note:

You must apply for a visa in a consular office or the embassy’s consular department in the consular district of your place of residence 

Usually, the above documents are enough to receive a visa, however, the consul may require additional documents.

The consul may, but does not have to, invite the applicant for an interview.

The D-type visas allow to stay in other Schengen states for 90 days of any 180-day period. It means that you can legally stay in the Schengen Area only if your stay was shorter than 90 days over the past 180 days.  

The D-type visa is valid for a maximum of one year.

Please note, that receiving the visa does not guarantee that you will enter Poland - the final decision is always made by the Border Guard.

How much does it cost? 

The fee shall be charged in accordance with the Consular Fees Table – point 3.01.

It is accepted in cash, in local currency - Vietnamese dong (VND).

The visa application fee is non-returnable, whatever the consul's decision. 

What is the waiting time?

The decision on the issue of a visa is made within 15 working days from the payment date of application fee. If the documents need to be examined in more detail, the consideration period may be extended to 60 days. In urgent and justified cases, the decision can be made in three working days.

How to collect the documents?

Processed visa applications can be picked up on Mondays between 15:00 to 16:00, and on Wednesdays between 13:00 and 15:00.

How to appeal?

If you do not agree with the consul's decision, you have the right to apply for a re-appeal of the visa application. You must submit it at the Consular office within 14 days from the day you have received the decision. 

The fee shall be charged in accordance with the Consular Fees Table – point 3.02.

Applications for re-examination of visa applications are accepted from Monday to Friday between 8:45 and 9:30.

INFORMATION ABOUT REFUNDING STUDENT FEES IN CASE OF RECEIVING A VISA REFUSAL IN ORDER TO START OR CONTINUE STUDIES

The charging fees issues for educational services by public universities are regulated in the Act of 20 July 2018, Law on Higher Education and Science, and in the case of non-public universities, they result from the internal regulations of these universities.

Students conclude civil law contracts with universities, which contain special conditions related to the admission process, the course of studies, as well as provisions regarding the amount of the fees and the rules related to the fee refunds. Candidates for studies should carefully study these documents in detail, in particular the provisions on the rules for obtaining the refund of the paid tuition fees.

Refund issues are settled between students and universities. The Ministry of Foreign Affairs of the Republic of Poland, the Embassies of the Republic of Poland, as well as the Consulates of the Republic of Poland do not mediate in issues between the student and the university and do not have legal measures allowing a foreigner, who has been refused a student visa, to obtain a refund of the tuition fees.

If the university fails to comply with the provisions of the contract concluded with the student, in particular, it has not refunded the fee, claims regarding student fees may only be pursued through civil law.
