Where to apply?

You can apply for a passport at any consular office of the Republic of Poland. Remember that you will pick up your new passport at the same office where you apply.

Do I have to apply in person?

You must apply for a passport in person.

What documents do I need to submit?
  • IMPORTANT! You no longer have to fill out the application by hand.

    You can submit an application for a passport issued by the consul of the Republic of Poland in electronic form during the passport visit. A consular employee will complete the application using an electronic form, and the applicant will confirm the correctness of the data by signing on a device designed for this purpose (Signature Pad).

     

    • Color biometric photo -  read what the photo should look like.

    Attaching a photograph to the application is mandatory. It is not possible to exchange or send a photo later. If the photograph is not attached to the application or does not meet the requirements, the passport authority issues information to the applicant that the application has not been accepted.

    • A valid passport document or a valid ID card (if issued) confirming identity and Polish citizenship.

    NOTE: in case of justified doubts as to the identity of the person to whom the passport document is to be issued, his or her citizenship or other data needed to submit an application for a passport document, the consul may ask for additional necessary documents.

    • A document that will confirm the right to a reduced fee or exemption from the fee for issuing a passport (eg student ID card, Polish pensioner ID card, etc.).

How much does it cost?

The fee for issuing a passport is EUR 110.00.

• Fees are collected at the cash desk of the consular office when submitting the application.

• The fee is charged [please list the forms of payment available at a given consular office, eg in cash, by payment card].

• You will benefit from the reduced fee for issuing a passport if:

• you are a student between the ages of 18 and 26;

• you are a pensioner, disabled person - entitled only on the basis of Polish regulations (Act of 17 December 1998 on pensions from the Social Insurance Fund, Act of 27 June 2003 on social pension and Act of 27 August 1997 on vocational and social rehabilitation and employment of people with disabilities);

• you are solely dependent on your spouse, who is a pensioner or a disabled person within the meaning of the above-mentioned regulations;

• you are staying in a social welfare home or in a care facility or

you use social assistance in the form of permanent benefits pursuant to the provisions of the Act of 12 March 2004 on social assistance (Journal of Laws of 2021, items 2268 and 2270 and of 2022, items 1 and 66);

• you receive a special care allowance, nursing benefit or allowance for a carer, granted on the basis of the provisions of the Act of 28 November 2003 on family benefits and the Act of 4 April 2014 on the determination and payment of allowance for carers;

• you are a veteran or other person to whom the provisions of the Act of 24 January 1991 on combatants and certain persons who are victims of war and post-war repressions apply;

• you are a person with the status of an anti-communist opposition activist or a person repressed for political reasons, granted on the basis of the Act of 20 March 2015 on anti-communist opposition activists and persons repressed for political reasons;

• you are a person for whom the Head of the Office for War Veterans and Victims of Oppression confirmed activity for Poland regaining its independence and sovereignty or respecting political human rights in Poland by means of decisions issued pursuant to Art. 117 sec. 4 of the Act of 17 December 1998 on old-age and disability pensions from the Social Insurance Fund;

• you are a soldier of the territorial military service;

• you are an injured veteran within the meaning of the Act of August 19, 2011 on veterans of operations abroad;

• you are a firefighter and rescuer of the volunteer fire brigade and a person who has been granted a rescue benefit under the Act of 17 December 2021 on volunteer fire brigades;

• you are a volunteer serving in entities authorized to perform mountain rescue;

• you are a member of a large family within the meaning of the Act of 5 December 2014 on the Large Family Card, holding a Large Family Card.

 

IMPORTANT! The condition for using the reduced consular fee is to present a document confirming the right to use the reduced consular fee at the time of submitting the application

You will NOT pay less if you apply for a new passport before your current passport expires if:

• your data entered in the passport has changed, for example, your first name(s), surname (then there is an obligation to replace your passport) as a result of getting married or your appearance has changed in a way that makes it difficult to determine your identity;

• there is no more space in the passport for further visas or stamps confirming the crossing of the border.

What is the waiting time?

When submitting the application, an employee of the consular office will give you the expected date of receipt of the passport. You will also receive a written confirmation of your application. On it you will find the number of your passport application, which will be useful for tracking the progress of your case online.

If you urgently need a travel document, for example due to the need to leave urgently - submit an additional application for a temporary passport while waiting for the biometric passport to be delivered. You will receive it faster than a biometric passport.

 

IMPORTANT! If you plan to travel to another country on the basis of a temporary passport, check the current regulations specifying the rules of entry and stay of foreigners on the territory of that country. Make sure that you will be able to cross the border on the basis of a temporary passport and what its validity period is required (at entry and exit).

How to collect the documents?

You will collect your passport in person at the office where you submitted your application.

On the day of collection of the new document, bring the previous passport (or temporary passport) to the consular office - the current passport document will be annulled, except for the pages containing valid visas, and returned.

 

 

IMPORTANT! In justified cases, especially in conditions of particularly difficult access to the consular office, the consul may waive the requirement to collect the passport document in person. Discuss this when applying for a passport. You will have to cover the shipping cost.

The consul will send the passport to the indicated address via the operator providing postal or transport services, taking into account the security of the document.

The cancellation of the existing passport will take place before the consul sends a new passport. If you know that your (biometric) passport is ready for shipment - send the current passport (or temporary passport) to the consul for cancellation. The consul will return the canceled document to you, sending it along with the new passport.

IMPORTANT! A citizen who has received a passport document by post WILL HAVE TO ACTIVATE THE PASSPORT BY THEMSELVES via a dedicated electronic service. In order to activate, a citizen needs: Internet access, new passport number and application number (this number is on the confirmation of submitting the application for a passport document).

Please note that changing the form of passport collection from personal to courier will not be possible after submitting the application during the passport visit at the consulate

 

IMPORTANT! The consul does not send passports to a citizen residing outside the area of competence of the consular office that accepted the application.

It is also not possible to send a passport issued by the national passport authority (voivode) to a person residing abroad.

 

 

The consul refuses to issue a passport document at the request of:

• a court conducting criminal proceedings or proceedings concerning a fiscal crime, proceedings concerning a minor or conducting civil proceedings against a person applying for a passport document,

• the body conducting preparatory proceedings, the body of executive proceedings in a criminal case, including a fiscal crime, against a person applying for a passport document

In these two cases, you cannot appeal against the consul's decision to refuse to issue a passport

 

 

The consul refuses to issue a passport document if:

• on the basis of the submitted documents and available registers, the passport authority did not confirm the data of the person applying for the passport document, included in the passport document, as indicated in the application for the issuance of the passport document;

• on the basis of submitted documents and available registers, the passport authority did not confirm the citizenship of the person applying for a passport document;

• when the applicant has not paid the required fee for the passport or temporary passport.

How to appeal?

How can you appeal?

If the consul issues you a decision refusing to issue a passport, you can appeal against this decision - through the consul - to the minister responsible for internal affairs.

There is no appeal against the decision to refuse to issue a passport document at the request of the court or authority conducting the proceedings.

 

Frequently asked questions

Can I apply for a passport if my passport is still valid for a few years?

You can apply for a new passport. Remember that the fee cannot be reduced in the case of:

• changes in personal data as a result of entering into a marriage

• lack of space in the passport for visas and border control stamps.

 

 

  My personal details have changed - do I need to apply for a replacement passport?

Yes, you must replace your passport if you change or need to correct such data as: surname, first name/names, date and place of birth, gender, PESEL number. In this case, you must apply for a passport replacement immediately.

IMPORTANT! After 120 days from the date of changing the data contained in the passport in the PESEL register, your current passport will be automatically invalidated.

Please note that the passport fee will not be reduced in the event of a change of personal data (e.g. as a result of marriage or an administrative change of name and/or surname).

 

There is no longer room for visas and border control stamps in my passport, but the passport will only expire in a few years. Should this passport be replaced?

There is no such obligation. However, if your passport lacks space for visas or border crossing stamps, and you plan to travel to other countries, you should apply for a new passport.

Consider applying for a new passport, even if you are not planning to travel anytime soon, to avoid inconvenience and inconvenience in the event of an urgent departure. However, remember that in this situation you will pay the full fee for the passport.

 

Can I apply for a passport if I have lost my ID card and I have a new 10-year passport to collect in Poland?

You can apply to the consul for a temporary passport to return to the country. Remember to take a temporary passport issued by the consul with you when going to the office (in the country) to collect a new passport.

I lost my passport. What should I do?

If you have lost your passport, you must immediately notify the passport authority - abroad, the passport authority is the consul.

Submitting a notification to the consulate about the loss of a passport means that the document will expire on the day of notifying the consul.

You do not have to report the loss of your passport in person at the consulate if you have a trusted profile, a qualified certificate or an e-ID, then you can report the loss or damage of a passport document either in writing on a form recorded in electronic form or on the Internet using the provided electronic service.

In addition, it is also possible to report the loss of a passport document in writing recorded on paper, with a signature certified by a notary public

Remember! If you find a passport whose loss you reported to the consulate, you should immediately return this document to the passport authority (abroad - to the consul).

 

  Is it possible to send a ready-made passport from another consulate or from another country?

No, you can collect your passport only at the office where you submitted your application.

 

How can I get a passport if I was born abroad, never had a Polish passport or ID card, never lived in Poland, but one of my parents used to have a Polish passport?

In such cases, as a rule, it is necessary to obtain confirmation of Polish citizenship. After obtaining the decision of the voivode stating that you have Polish citizenship, you will have to transcribe a foreign birth / marriage certificate. In this way, you will obtain a copy of the Polish birth certificate / copy of the Polish marriage certificate.

The documents required in such a situation to submit an application for a passport are: a photograph, an abbreviated or full copy of a Polish birth / marriage certificate, a decision on confirmation of Polish citizenship. Also show a valid photo ID.
