D-Type national visa

Where to apply?

You can apply at the consular office at 15 Mtwara Road, Oysterbay, Msasani Peninsula, tel. (+255) 22 222 10 50.

Do I have to apply in person?

Visa application form must be submitted in person. Diplomatic mission does not accept application forms sent via fax, regular mail or e-mail.

How to book an appointment?

In order to apply for a visa, please register via the e-konsulat system ​​(Tanzania >> Dar es Salaam>> National Visa - Register form >> National visa).

Please be informed that the only way to register for a study visa appointment (national visa – type D) is via the e-konsulat system (www.e-konsulat.gov.pl). When all appointments are booked registration service will be temporarily unavailable. Please check the page - new slots will be released regularly. Kindly note that the Embassy does not provide information on specific dates for releasing new slots. The Embassy does not register in any other way than via the e-konsulat system - please do not send e-mails with such requests.

 

What documents do I need to submit? 

1.    A visa application form filled via the e-konsulat system, printed and signed;
2.    A 3.5 x 4.5 cm colour photo. The photo must be:
a.    sharp, taken against white background and printed on a quality paper,
b.    newer than 6 months,
c.    taken en face, clearly showing the eyes and face on both sides from the top of the head to the top of the shoulders with the face covering 70-80% of the photo. The photo must be taken without any headwear.
3.    Passport issued within last ten years, valid for at least three months from the expected return date, with at least two blank pages for visas.
4.    A copy of the passport page with personal data and the photo. 
5.   All persons applying for a D-type national visa must personally submit documentation confirming the possession of medical travel insurance as referred to in art. 25, sec. 1, point 2, letter a, or documentation confirming the possession of health insurance, as defined by the Act of August 27, 2004, on health care services financed by public funds. Medical travel insurance with an insured amount of no less than EUR 30,000 must be valid for the period of the foreigner’s intended stay within the Republic of Poland and must cover all expenses that may be incurred during the stay, including: the need for return travel for medical reasons, the need for urgent medical assistance, emergency hospital treatment, or death, for which the insurer covers the cost of healthcare services provided to the insured with direct payments to the entity providing such benefits and on the basis of a bill issued by said entity.

6.    A copy of an ID document to confirm legal residence within the consular district of your application.
7.    Proof that you have enough means of subsistence:

a.   for students: proof of financial means sufficient to cover living expenses (equivalent of around USD 190 monthly) and accommodation over the whole period of requested visa, and return flight (equivalent of around USD 660). There is no specific amount, it depends on individual circumstances. It is compulsory to bring one of the following documents: credit card limit confirmation, document confirming regular income (salary letter or in case of entrepreneurs/company owners: income/profit confirmation by accountant/CFO will be accepted) or scholarship confirmation. Additionally, bank statement for the past three months is also recommended. If documents above relate to the sponsor, please bring a sponsorship letter confirmed by a notary public. The financial documents cannot be older than three months.

b.   for work visas: the employment contract.

8.    A proof of accommodation (for example, an official invitation or a hotel booking or reservation).
9.    Documents confirming the purpose of your stay Poland.

10.  A copy of the flight ticket reservation containing the flight details and booking number.

Additional documents required for visa applications for studies and research (national visa D):

1. Certificate of the unit conducting studies on admission to studies or on continuation of studies. A model certificate can be found here.

2. Proof of payment of tuition fees.

3. Document confirming having sufficient financial resources to cover the cost of living and the return travel.

4. A high school diploma together with the results of the school-leaving examination, if such an examination exists in the country of graduation.

5. An administrative decision, issued by the relevant Education Office (https://www.gov.pl/web/edukacja/kuratoria-oswiaty), recognising as a document of confirmation in the Republic of Poland a secondary or upper secondary education, or an entitlement to continue education, including an entitlement to apply for admission to higher education, taking into account the scope of entitlements in the country that has issued the school-leaving certificate.

6. Certificate of proficiency in the language of studies issued at the level required by the unit conducting the studies.

Additionally, when applying for a visa for a minor you should present:

  • Written consent of the child’s/minor’s parent(s) to apply for a visa, confirmed by a notary. If there is only one guardian, it should be proved by a birth certificate, a court decision on exclusive parental custody or a death certificate of the other parent.
  • Originals and copies of parents' passports.
  • An original and a copy of a birth certificate.

If the child is entered in the parent's or legal guardian’s passport, please submit a separate visa application.  The visa will be pasted into the parent's or the legal guardian's passport.

Please note:

  • You must apply for a visa in a consular office or the embassy’s consular department in the consular district of your place of residence 
  • Usually, the above documents are enough to receive a visa, however, the consul may require additional documents.
  • The consul may, but does not have to, invite the applicant for an interview.
  • The D-type visas allow to stay in other Schengen states for 90 days of any 180-day period. It means that you can legally stay in the Schengen Area only if your stay was shorter than 90 days over the past 180 days.  
  • The D-type visa is valid for a maximum of one year.
  • Please note, that receiving the visa does not guarantee that you will enter Poland - the final decision is always made by the Border Guard.
How much does it cost? 

The visa application fee is 150 USD in cash and is non-returnable, whatever the consul's decision. 

What is the waiting time?

The decision on the issue of a visa is made within 15 working days from the payment date of application fee. If the documents need to be examined in more detail, the consideration period may be extended to 30 days. In urgent and justified cases, the decision can be made in three working days.

How to collect the documents?

Your passport with visa decision can be collected in the afternoon on Wednesdays and Fridays between 12:00pm - 1:30pm. When applying, you will be assigned a collection date and time.

How to appeal?

If you do not agree with the consul's decision, you may ask to have your visa application re-considered. You must apply for the reconsideration in the office that issued the decision within 14 days of its delivery.

The application fee in this case is 150 USD.

Application for reconsideration can be lodged on Wednesdays and Fridays between 09:00 am - 10:30 am, without a prior registarion at eConsulate.

Frequently asked questions

Can a citizen of another country apply for visa at the Embassy?

The Embassy can only accept visa applications from citizens and residents of countries of accreditation. A proof of residence is required.

Can you lodge visa application by mail or e-mail?

No. Visa application must be lodged in person after booking an appointment in the e-konsulat online system (www.e-konsulat.gov.pl).

Can I pay by a bank transfer?

No. Consular fees can only be paid by cash. Please bring the exact amount in USD only.

Do I have to provide a paid plane ticket?

No. A flight booking is required with the visa application. Visa will be granted for the period covering the dates in the booking. Purchasing ticket can be done after visa is granted. 

How to obtain a refunding of student fees in case of receiving a visa refusal in order to start or continue studies?

The charging fees issues for educational services by public universities are regulated in the Act of 20 July 2018, Law on Higher Education and Science, and in the case of non-public universities, they result from the internal regulations of these universities.

 

Students conclude civil law contracts with universities, which contain special conditions related to the admission process, the course of studies, as well as provisions regarding the amount of the fees and the rules related to the fee refunds. Candidates for studies should carefully study these documents in detail, in particular the provisions on the rules for obtaining the refund of the paid tuition fees.

 

Refund issues are settled between students and universities. The Ministry of Foreign Affairs of the Republic of Poland, the Embassies of the Republic of Poland, as well as the Consulates of the Republic of Poland do not mediate in issues between the student and the university and do not have legal measures allowing a foreigner, who has been refused a student visa, to obtain a refund of the tuition fees.

 

If the university fails to comply with the provisions of the contract concluded with the student, in particular, it has not refunded the fee, claims regarding student fees may only be pursued through civil law.
